We are looking for a responsible Administrative Manager for our Warsaw office with experience in operational and administrative management of company processes. _____________________
Requirements:
- At least 2 years of experience in a similar role ;
- Ability to coordinate work between management, legal department, accounting, HR and external contractors;
- Management and control of HR and corporate document flow (contracts, powers of attorney, corporate decisions, internal documents);
- Experience in working with corporate procedures of companies (sp. z oo and JDG (IP)): preparation of documents for changes in companies, interaction with lawyers, banks and notaries;
- Skills in structuring information and managing several processes simultaneously ;
- Control of administrative and operational tasks;
- Experience in interacting with government agencies and official institutions (KRS, CEIDG, banks, notaries, tax authorities, etc.);
- Confident use of office tools and corporate systems;
- Free working communication in Russian, Polish and English.
 
Responsibilities:
- Coordination of the company's administrative and operational processes;
- Management of HR and corporate document flow (contracts, powers of attorney, corporate decisions, internal documents);
- Preparation and coordination of documents for corporate changes in companies (sp. z oo) in cooperation with the legal department;
- Interaction with lawyers, accounting, banks, notaries, government agencies (tax, ZUS) and external contractors;
- Control over the signing of contracts, deadlines for completing tasks and the company's administrative processes;
- Support of the company's management in operational and administrative matters;
- Organization of the company's internal processes, meetings, business trips and corporate events;
- Structuring and systematization of corporate documentation and work processes;
- Coordination of interaction between different departments of the company.
 
The following will be a plus:
- Experience in corporate administration of companies in Poland and a basic understanding of administrative documents (when registering employees, contracts, powers of attorney);
- Understanding of accounting and financial processes (bills, invoices, acts, payment control);
- Experience in optimizing the company's internal processes;
- Experience of working in an international or multicultural environment;
- Skills in organizing corporate events, trips and internal company processes;
- Basic understanding of legal and corporate procedures in the EU / Poland.
