We’re seeking an organized and proactive Office Manager/HR Assistant to join our team! This dual-role is essential in supporting both our daily office operations and key HR functions.

Job duties and responsibilities:
Office Management
 
Oversee office organization, including managing supplies, coordinating with vendors, and ensuring a well-maintained environment.
Handle invoices for office supplies, maintain up-to-date budget records, and manage expense tracking.
Assist with organizing company events, meetings, and employee gatherings.
Manage office communications and keep employees informed on key updates.
HR Support
 
Assist the HR Manager in recruitment tasks, including screening candidate profiles, scheduling interviews, and managing applicant tracking.
Assist in preparation of work permit applications for non-EU employees, ensuring full compliance with Maltese regulations.
Support quarterly employee check-ins, satisfaction surveys, and other engagement activities, contributing to employee well-being.
Requirements:
Previous experience in office administration or as an HR assistant.
Familiarity with Maltese labour regulations and work permit application processes.
Strong organizational skills and attention to detail, with the ability to prioritize in a dynamic setting.
Excellent communication skills, both verbal and written.
Ability to handle sensitive information with confidentiality and professionalism.
Proficiency in MS Office (Word, Excel, Outlook); familiarity with HR software is a plus.
